Objectives of the policy
NovAliX attaches the greatest importance and care to the protection of privacy and personal data and to the respect of the legal provisions in force in this matter.
The purpose of this Privacy Policy (hereinafter the “Policy”) is to provide simple, clear and complete information on the Processing of Personal Data concerning you and carried out by NovAliX as Data Controller.
Scope of application
This Policy covers the Processing carried out in the context of:
- The management of the NovAliX website and the requests sent through the online forms on this website:
- The sending of the NovAliX newsletter
- The recruitment of NovAliX employees
- The management of NovAliX’s customers, service providers and partners
For all of these Processing operations, NovAliX is the entity that determines the means and the purposes and thus acts as a Data Controller within the meaning of the applicable regulations on personal data and in particular of the EU Regulation 2016/679 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (hereinafter referred to as the “GDPR”).

General information applicable to all processing operations carried out by NovAliX
Minimization of the collected data
Each form on the Site limits the collection of personal data to what is strictly necessary and indicates the purpose(s) for which the data is collected as well as the recipient(s) of the data.
The Data required to manage your request are indicated by an asterisk on each form. If you do not fill in these mandatory fields, NovAliX will not be able to respond to your requests and/or provide you with the requested services. Other information is optional and allows us to better manage your request and improve our communications and services to you.
Sharing Your Data with Third Parties and Transferring Your Data Outside the European Union
We never share your Personal Information with other companies for marketing purposes.
The Data may be transmitted to technical service providers chosen for their expertise and reliability who act on our behalf and according to our instructions (IT subcontractor, host of our servers, etc.).
We permit these service providers to use your Personal Information only to the extent necessary to perform services on our behalf or to comply with legal requirements, and we strive to ensure that your Personal Information is protected at all times.

Data concerning minors

Processing implemented by NovAlix
Management of the NovAliX website and of the requests sent from the online forms
When you browse the NovAlix website, you may be asked to make a contact request via the “contact us” or “contact request” form.
In the context of these activities, and on the basis of your Consent that you express by accepting the contact request, NovAliX processes and keeps your Personal Data.
To respond to your contact request: the information provided on the form, i.e. your identity, your professional contact details (see data minimization) and, if applicable, the content of the message, as well as any information communicated subsequently during our exchanges. This Data is processed by the department concerned by your request for the time necessary to respond to you.
We also inform you that we make anonymous statistics on the frequentation of the NovAliX site, which do not allow us to identify you.
Processing for the purpose of promoting NovAliX services and events
NovAliX collects and uses the Identification Data and business contact information of prospects and customers, including the Public Data available on the Internet, for the purpose of promoting NovAliX services and events.
This Processing is based on the legitimate interest of NovAliX to promote its activities to professional profiles that are likely to be interested in the services and products of NovAliX. You may object to receiving our newsletter at any time and without justification, by clicking on the unsubscribe link in the e-mail or by notifying the DPO directly.
The Data are processed and kept for this purpose by the NovAliX sales department, subject to a request to unsubscribe:
- For prospects: for 3 years from the last contact
- For customers: for the duration of the commercial relationship and for 3 years after the end of the commercial relationship
- In the event of indirect collection of your Data for marketing communication purposes, in particular public data on the Internet, NovAliX will inform you at the time of the first communication, and in any event within one month of the collection of the Data, of the intended use and of your right to object to the processing of your Data for marketing purposes.
Processing for the purpose of managing prospects, customers, service providers and partners NovAliX may also process personal data about you when:
- You request a quote for services via the online form on the Site or directly by telephone to the sales department;
- Your company enters into a contract with NovAliX as a customer, service provider or partner.
In this context, NovAliX will collect information about:
- The contact(s) indicated to NovAliX, such as the contact indicated on the form, the principal referent for the contract, the contact for invoicing, and any other contact person: last name, first name, business e-mail address, business telephone number, position, and all information contained in the exchanges (nature of the request, etc.);
- To the signatory (ies) of the contract: name, first name, function, signature.
- This Data is intended, as needed, for the employees in charge of the follow-up of the commercial relationship and/or the partnership, the accounting/billing and the employees of the departments involved in the request/contract.
They are collected and kept:
- For requests for quotations that do not lead to the conclusion of a contract: the time required to study and follow up the request + five (5) yearw after the request is closed (or the last contact if applicable)
- For contracts and in order to perform the contract: the duration of the contractual relationship
- For the purpose of fulfilling our legitimate interest in ensuring the protection and defense of our rights in the event of litigation, for ten (10) years following the end of the contractual relationship.
- Your contact information may also be used to send you the NovAliX newsletter on NovAliX services and events.
Processing for recruitment purposes
NovAliX may process Personal Data about you when you submit an unsolicited application or apply for a job posted by NovAliX.
In this context, Personal Information about you is collected
Directly from you during the recruitment process;
Indirectly from Third Parties for the verification of your diplomas and references, with your consent.
The Data collected are the following:
– Name, first name, e-mail address, telephone number, professional experience as well as all the information that you communicate to us via the transmission of your application and/or your curriculum vitae and/or interviews: photo, skills, level of education, languages spoken, salary expectations, personal address, hobbies, family situation, etc.
This Data is collected and kept only in the context of the management of your application, on the basis of the legitimate interest of NovAliX and/or your Consent and is not used for any other purpose.
It is kept :
- In the event of a successful application: Data relating to an employee is kept for the time he or she remains with NovAliX and after his or her departure for the applicable legal retention period.
- In the event of a negative outcome to an application: one (1) year, unless you object.
Your personal data will in any case be destroyed upon your request, within a maximum period of one (1) month from your request.
These data are processed by the employees in charge of recruitment within NovAliX only.
Exercising your rights and contacting our Data Protection Officer
In accordance with the regulations in force, you have the right to access and rectify your Personal Data, as well as the right to request its deletion (right to be forgotten), the right to object to its processing and to obtain its limitation or portability insofar as this is applicable, subject to any compelling legitimate reasons that NovAliX may have for keeping your Data.
With respect to Personal Data relating to your application, we invite you to keep your information up to date by notifying NovAlix.
In addition, you may, at any time and without justification, ask to no longer receive our newsletter and, more generally, our communications relating to our services, news and events by using the hypertext link provided for this purpose in each email we send you.
When you exercise your rights, our Data Protection Officer processes your Personal Data for the purpose of managing your request (title, surname, first name, copy of identity document, nature of the request, response given).
This Data is kept for a period of three (3) years, with the exception of the copy of your identity card, which is kept for one (1) year.
